Program Coordinator

Job summary

The Program Coordinator will be responsible for a variety of administrative tasks, to help in planning and organizing the activities of the different programs of the Gateway as well as to carry out important operational duties. These include existing programs (e.g. study abroad and languages) as well as newly initiated or upcoming programs in leadership, technology and social responsibility. The initial main focus of the Program Coordinator will be assisting in the promotion of a newly launched certificate program in software engineering (adam - coding & beyond).

Key Responsibilities

Under the direction of the Project Manager and in concert with a larger team, the Program Coordinator is responsible for the following key areas and administrative duties:

  • Support the planning and coordination of the program and their activities
  • Monitor implementation of program policies and practices
  • Work to keep programs on schedule, within stated budgets and functioning smoothly
  • Support program growth and development as necessary
  • Manage marketing and communications (media relations, social media)
  • Coordinate program communications
  • Manage staff work assignments, workloads and work schedules
  • Administer or oversee fundraising operations for programs as well as community outreach
  • Oversee the program budget, including tracking billing, payments and other financial transactions
  • Coordinate interactions/relationships between staff, clients, administrators and all other program stakeholders
  • Schedule and organize program-related meetings and events
  • Oversee the use of technology for program operations, such as video conferencing technology, presentation software and other communications technologies, for instance
  • Create and maintain program records, reports, presentations and proposals
  • Facilitate positive relations between the program team, the public, the media. other departments within the organization, and all other involved parties.
Requirements
  • Associate degree or up to 3 years of college education
  • A bachelor’s degree or equivalent is an asset
  • Proven experience as program coordinator or relevant position
  • English is a must
  • Strong organizational and interpersonal skills with ability to interact and work with diverse groups of faculty, staff, students and visitors
  • Exceptional attention to detail
  • Ability to manage multiple demands simultaneously and work under multiple deadlines.
  • Excellent ability to communicate in a professional manner
  • Proficiency in Microsoft suite
  • Self-directed, with willingness to take initiative
  • Experience providing administrative support to a dynamic and diverse team
  • Right to work and drive in Israel required
